A breakdown by item lets the client see value and trade scope rather than question your rate. Consultants price by day rate, fixed fee per phase or monthly retainer. Value-based fixed fees are common for well-defined outcomes.
Write down what isn’t included, such as implementation of recommendations. It prevents most disputes later.
Give a validity date, the deposit and one clear way to accept. A quote with no next step tends to sit in an inbox.
A fixed fee works when the outcome and scope are clear, and rewards efficiency. A day rate suits open-ended work. Many consultants quote a fixed fee per phase with a day rate for anything beyond scope.
Once a client accepts a quote, it can form part of a binding contract at that price, depending on where you are and what the quote says. Be precise about scope, exclusions and validity.
Thirty days is common. A validity date protects you if costs or your availability change, and gives the client a gentle deadline to decide.
For larger jobs, yes. A deposit of 25–50% on acceptance confirms commitment and covers early costs. Put the deposit and payment schedule on the quote so there are no surprises.
