Be specific about the document, its purpose and the format your team can use. For a brand-guideline request, explain whether you need the current PDF, editable assets or both. Clear instructions make the client's next step easier to understand.

Collect responses against the requested item so the file keeps its engagement context. Your team can see who was asked, what the file supports and whether there is still information to clarify. This is a collection workflow, rather than another general-purpose storage folder.
