What to include in a software development quote

A software development quote tells the client what you’ll do, what it costs and what’s not included, before they commit. Software work is usually priced by sprint or day rate (time and materials), or as a fixed price for a well-defined scope with a change process for anything new.

  • Scope summary: the outcome and deliverables, in a sentence or two.
  • Price breakdown: each item with quantity, rate and amount, so the client can see what drives the total.
  • Exclusions: what isn’t included, such as hosting, third-party APIs and licences unless listed.
  • Assumptions: what the price depends on, such as the client supplying inputs on time.
  • Terms: validity date, deposit and payment schedule.
  • Acceptance: how the client says yes.

How to fill it in

  1. Number and date the quote, add a validity date and the client’s details.
  2. Summarise the outcome and deliverables in one or two sentences.
  3. Break the price into items with quantities and rates, such as “Discovery sprint”.
  4. List what’s not included and the assumptions the price depends on.
  5. Add the timeline, deposit and payment schedule.
  6. Add an acceptance section, then send it and follow up before it expires.

Use it in Word, Excel, Google Docs or PDF

Microsoft Word

  1. Download the Word (.docx) file and open it. If Word opens it in Protected View, select Enable Editing.
  2. Use Find (Ctrl+F or Cmd+F) and search for “[” to jump between the placeholders you need to replace.
  3. Save a clean copy as a Word template (File → Save As → Word Template) so every new document starts from it.

Google Docs

  1. Upload the .docx file to Google Drive.
  2. Right-click it and choose Open with → Google Docs, then File → Save as Google Docs to keep an editable copy.
  3. Use File → Make a copy for each new client so your master stays clean.

Excel and Google Sheets

  1. Download the Excel (.xlsx) file. It has a blank sheet and a worked example.
  2. Enter quantities, hours and rates: amounts, totals and tax calculate with built-in formulas.
  3. To use Google Sheets, upload the file to Drive and choose Open with → Google Sheets; the formulas carry over.

PDF

Use Print or save as PDF in the template section above to print just the template, or fill it in Word or Google Docs first and export it (File → Save As → PDF in Word, File → Download → PDF document in Google Docs).

Quote mistakes to avoid

  • One lump sum. A breakdown shows the value and makes it easier to adjust scope instead of cutting your rate.
  • No exclusions. Anything you don’t exclude, the client may reasonably assume is included.
  • No expiry. Without a validity date, a price from six months ago can come back to bite you.
  • No next step. Tell the client exactly how to accept and what happens after they do.

MAKE IT WORK FOR YOU

Useful structure.
Your way of working.

01

Show what drives the price.

A breakdown by item lets the client see value and trade scope rather than question your rate. Software work is usually priced by sprint or day rate (time and materials), or as a fixed price for a well-defined scope with a change process for anything new.

02

Exclude out loud.

Write down what isn’t included, such as hosting, third-party APIs and licences unless listed. It prevents most disputes later.

03

Make yes easy.

Give a validity date, the deposit and one clear way to accept. A quote with no next step tends to sit in an inbox.

GOOD QUESTIONS

Before you download.

Talk to us
How accurate should a software development quote be?

Quote a range for anything that hasn’t been through discovery, and a fixed price only for well-defined scope. Many teams quote a paid discovery sprint first, then quote the build.

How long should a quote be valid for?

Thirty days is common. A validity date protects you if costs or your availability change, and gives the client a gentle deadline to decide.

Should I ask for a deposit when a quote is accepted?

For larger jobs, yes. A deposit of 25–50% on acceptance confirms commitment and covers early costs. Put the deposit and payment schedule on the quote so there are no surprises.

Can I edit this template in Word or Google Docs?

Yes. Download the Word (.docx) file and open it in Microsoft Word, or upload it to Google Drive and choose Open with → Google Docs. There’s also a Markdown version for any text editor. No account or email address is needed.

How do I save it as a PDF?

Fill it in, then export it: File → Save As → PDF in Word, or File → Download → PDF document in Google Docs. On this page you can also print just the template or save it as a PDF from your browser’s print dialog.

Does the Excel version calculate totals?

Yes. Enter quantities, hours and rates and the amounts, subtotal, tax and total calculate automatically. It also works in Google Sheets: upload it to Drive and open it with Google Sheets.
