What is a client information sheet?

A client information sheet collects the practical details you need to work with and bill a new client: legal name, contacts, billing details and how they like to communicate. Send it straight after signing, before the onboarding questionnaire.

  4. Ask whether purchase orders or supplier registration are required.
  5. Record communication preferences.
  6. Store the answers where the whole team can find them.

Use it in Word, Google Docs or PDF

Microsoft Word

  1. Download the Word (.docx) file and open it. If Word opens it in Protected View, select Enable Editing.
  2. Use Find (Ctrl+F or Cmd+F) and search for “[” to jump between the placeholders you need to replace.
  3. Save a clean copy as a Word template (File → Save As → Word Template) so every new document starts from it.

Google Docs

  1. Upload the .docx file to Google Drive.
  2. Right-click it and choose Open with → Google Docs, then File → Save as Google Docs to keep an editable copy.
  3. Use File → Make a copy for each new client so your master stays clean.

PDF

Fill it in Word or Google Docs, then export it: File → Save As → PDF in Word, or File → Download → PDF document in Google Docs.

Example: Harbour Freight Ltd

Sample answers from a fictional client.

Sample answers

  • Legal name? Harbour Freight Limited
  • Accounts contact? accounts@ (fictional), who need a PO on every invoice.
  • Preferred channel? Email for decisions; a fortnightly call for updates.

Tips for better answers

  • Ask about POs on day one; it prevents late payments later.
  • Collect a finance contact, not just the project contact.
  • Never ask for passwords in a client form.

MAKE IT WORK FOR YOU

Useful structure.
Your way of working.

01

Ask only what you’ll use.

Every extra question lowers completion. Keep the ones that change what you’ll do, and move the rest to a later conversation.

02

Explain why you’re asking.

A one-line reason next to a question gets better answers than an unexplained field.

03

Act on the answers.

Review responses before your next conversation and turn them into requests with owners and dates.

GOOD QUESTIONS

Before you download.

Talk to us
What information should I collect from a new client?

Legal and trading names, address, tax or company numbers where needed for invoices, contacts for day-to-day work, approval and finance, billing requirements and communication preferences.

How should I store client information?

Somewhere secure and shared with the people who need it, in line with data protection law and your privacy notice.

Client information sheet vs client intake form?

Intake qualifies a prospect before signing. The information sheet collects practical details after signing.

Can I edit this template in Word or Google Docs?

Yes. Download the Word (.docx) file and open it in Microsoft Word, or upload it to Google Drive and choose Open with → Google Docs. There’s also a Markdown version for any text editor. No account or email address is needed.

How do I save it as a PDF?

Fill it in, then export it: File → Save As → PDF in Word, or File → Download → PDF document in Google Docs. On this page you can also print just the template or save it as a PDF from your browser’s print dialog.
